Heavy Equipment Operating Cost Guides

Cost-per-hour guides for fuel burn, maintenance reserve, tires, tracks, depreciation, utilization, idle time, ownership cost, and bid planning.

Build equipment rates from real hours, not guesswork. Separate fixed ownership cost from variable operating cost, then adjust for fuel price, idle time, utilization, undercarriage or tire wear, maintenance reserve, and expected resale value.

Cost Drivers That Change the Hourly Rate

The same machine can have very different hourly economics depending on annual utilization, idle percentage, application severity, operator behavior, maintenance discipline, financing structure, and resale value.

Ownership

Depreciation and Finance

Purchase price, expected resale value, interest, taxes, insurance, storage, and annual hours determine the fixed cost recovered per working hour.

Fuel

Burn Rate and Idle Time

Gallons per hour, diesel price, DEF use, auto-idle behavior, work mode, truck matching, and operator technique can move job cost quickly.

Wear

Undercarriage, Tires and GET

Track chains, rollers, idlers, sprockets, tires, cutting edges, bucket teeth, pins, bushings, and attachment wear need an hourly reserve.

Availability

Downtime and Utilization

Underused machines carry higher ownership cost per hour, while poor maintenance can add repair cost and lost production at the same time.

Hourly Rate Building Method

1. Normalize ownership cost

Subtract expected resale from acquisition cost, add financing and fixed carrying costs, then divide by realistic ownership-period hours.

2. Add variable operating cost

Fuel, DEF, lube, filters, scheduled service, repairs, tracks, tires, cutting edges, and ground engaging tools belong in the working-hour rate.

3. Separate operator and overhead

Some companies include labor and overhead in the equipment rate; others keep them in the bid rate. The key is consistency.

4. Reconcile against actuals

Compare estimated GPH, service reserve, repair reserve, idle hours, and resale assumptions against telematics and accounting records.
